NCIM Academic Administrator (maternity cover, job-share)
Job Description and Person Specification

Would you like to contribute to the future of healthcare through education?

Are you passionate about supporting people to learn, develop and make a difference in healthcare? Are you looking for an opportunity to be part of a growing organisation with a clear social purpose and a commitment to transforming healthcare through Integrative Medicine?

The National Centre for Integrative Medicine (NCIM) is a not-for-profit social enterprise working to support the transformation of healthcare to a broader Integrative Medicine model, combining conventional, holistic, functional and lifestyle approaches to improve health and wellbeing.

NCIM Academy is an important part of this work, providing high-quality education and professional development for healthcare professionals. Our programmes include our 2-year master’s Level 7 Diploma in Integrative Healthcare, Single Modules, 1-year Diploma in Integrative Healthcare Research, CPD accredited short courses, Foundation and Advanced Training in Medical Homeopathy, Mistletoe Therapy Training, Masterclasses and conferences.

We are looking for an organised, proactive and collaborative Academic Administrator to join our Academy team on a maternity-cover basis. This is an opportunity to play an important role in supporting healthcare professionals throughout their learning journey, working closely with learners, tutors, Module Leads, Academic Co-Directors and the wider NCIM team.

About the role

The Academic Administrator is a key point of contact for NCIM Academy programmes and educational activities. You will support learners from their initial enquiry and enrolment through to completion, helping to ensure that our programmes and educational events are well organised and that learners receive the support they need throughout their journey with NCIM.

Working as part of an established job-share arrangement, you will work closely with the existing Academic Administrator and wider Academy team. Your responsibilities will include:

  • Supporting the administration of NCIM Academy programmes, courses and educational activities.
  • Supporting learners, tutors and Module Leads through effective communication and coordination.
  • Acting as a first point of contact for enquiries from prospective and current learners.
  • Supporting teaching days, evening tutorials, online open evenings, masterclasses and conferences.
  • Coordinating event administration, including registrations, communications, resources and logistics.
  • Supporting assessment and examination administration, including Medical Homeopathy examinations.
  • Supporting accreditation, quality assurance and academic administration.
  • Supporting course information and administration across digital platforms, including Thinkific and the Virtual Learning Environment.
  • Working with the Finance Manager to support fees, invoices, bursaries, payments and accurate records.
  • Working collaboratively with the Marketing Team and wider NCIM colleagues to support Academy activities and the learner experience.

About you

You will be highly organised, reliable and able to manage competing priorities while maintaining a high level of attention to detail. You will have excellent written and verbal communication skills and be confident working with a range of people, including learners, healthcare professionals, tutors and colleagues.

You will enjoy working collaboratively, while also being able to use your own initiative, solve problems and take responsibility for your work. Good IT and digital skills are important, as is the ability to learn and work confidently with new systems.

Experience of working in an education, healthcare or professional environment would be an advantage. An interest in Integrative Medicine, healthcare or education is also desirable, but we are particularly interested in your skills, approach and ability to contribute positively to our team.

Why join NCIM?

You will be joining a growing organisation with a clear social purpose and a team who care about the work they do. At NCIM, our shared values are an important part of how we work, and our team members value knowing that their contribution can make a meaningful difference.

Through NCIM Academy, you will help healthcare professionals access high-quality education and professional development, contributing to the continued development of Integrative Medicine education and practice.

If you are passionate about working with people and want your administrative skills to contribute to something meaningful, we would love to hear from you.

Working pattern

This is a job-share role providing maternity cover within the NCIM Academy team. The successful candidate will be expected to work Mondays and Tuesdays, with the remaining hours arranged by agreement to support continuity and effective cover across the Academy team. We are open to discussing flexible working arrangements for the remaining hours, provided the needs of the role and the team are met.

The role will also involve attending teaching and other Academy events as required, including occasional Saturdays.
